Introduction

Vectrant ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website at vectrant.com and our AI customer and business intelligence platform (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy.

Information we collect

Information you provide

We collect information that you voluntarily provide when using the Service, including:

  • Contact information such as your name, email address, phone number, and company name when you fill out forms, schedule a demo, or contact us.
  • Account information including your name, email address, and password when you create an account on the platform.
  • Communication content, including messages you send through contact forms and demo request forms.

Information collected automatically

When you access the Service, we may automatically collect certain information, including:

  • Device and browser information such as your IP address, browser type, operating system, and device identifiers.
  • Usage data including pages visited, time spent on pages, and referring URLs.
  • Log data generated by your use of the platform, including query content and interaction patterns.

Information collected through the platform

When organizations deploy Vectrant for their customers, the platform processes conversational data between end users and the AI system. This data is stored on the deploying organization's infrastructure and is controlled by that organization. Vectrant does not have access to conversation data stored on self-hosted deployments.

How we use your information

We use the information we collect for the following purposes:

  • To provide, maintain, and improve the Service.
  • To respond to your inquiries and fulfill your requests, such as demo scheduling and contact form submissions.
  • To send you administrative information, including updates to our terms and policies.
  • To monitor and analyze usage trends to improve user experience.
  • To detect, prevent, and address technical issues and security threats.
  • To comply with legal obligations.

Cookies and tracking

We use essential cookies to ensure the proper functioning of the Service, such as session management and security tokens. We do not use third-party advertising cookies or cross-site tracking technologies.

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, some features of the Service may not function properly without cookies.

Third-party services

The Vectrant platform integrates with third-party language model providers (such as Anthropic and OpenAI) to generate AI responses. When the platform processes a query, relevant context from the organization's knowledge base is sent to the configured LLM provider for response generation. This processing occurs according to the LLM provider's own data processing terms.

For self-hosted deployments, the deploying organization controls which LLM provider is used and is responsible for ensuring compliance with that provider's terms.

Data retention

We retain your personal information only for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required or permitted by law. Contact form submissions and demo requests are retained for the duration of our business relationship and a reasonable period thereafter.

For the platform itself, data retention is controlled by the deploying organization through configurable retention policies. The platform includes automated housekeeping features that can purge analytics data and task logs according to administrator-defined schedules.

Data security

We implement appropriate technical and organizational measures to protect your personal information, including encryption in transit (TLS 1.2/1.3), access controls, input sanitization, and PII detection. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

Your rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • The right to access the personal information we hold about you.
  • The right to request correction of inaccurate personal information.
  • The right to request deletion of your personal information.
  • The right to restrict or object to processing of your personal information.
  • The right to data portability.
  • The right to withdraw consent where processing is based on consent.

To exercise any of these rights, please contact us.

Children's privacy

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without parental consent, we will take steps to delete that information.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after any changes constitutes acceptance of the updated policy.
